Invoice generator

Fill in the left, watch the invoice build on the right, then save it as a PDF. Nothing is uploaded: your details, your client's details and your logo stay in this browser tab, and the draft is kept on this device so you can come back to it.

No sign-up, no email Nothing you type is sent to us

Read in this tab. Never uploaded.

Lines

A deposit or part payment. Comes off the balance due.

"Save as PDF" opens your browser's print dialogue; choose "Save as PDF" as the destination. That is deliberate: it uses the PDF engine already on your machine rather than shipping a rendering library to every visitor, and the file is produced without anything being sent anywhere.

How this works

Everything happens in this tab. There is no "create account to download" step because there is no upload step: the logo is read into the page with the browser's own file reader, the draft is kept in this device's local storage, and the PDF is produced by the print engine already installed on your computer.

That is not a privacy flourish, it is the honest architecture for a document containing your client's name, address and what you charged them. Nothing we do not hold cannot leak.

The tax handling is worth one note. "Prices already include tax" back-calculates the tax out of your line totals rather than adding it on top. Getting that backwards overcharges your client by the whole tax rate, which is the worst direction to be wrong in, so the preview always shows the split.

Where the numbers come from

This tool formats a document; it does not know your tax obligations and cannot work them out. Rates, registration thresholds and what has to appear on a compliant invoice differ by country and by what you sell. If you are not certain whether to charge tax, check before you send it.

This is the slow way to do it

Filling in line items by hand is fine once. FlatHours builds the invoice from time you already tracked, sends it, and takes card and bank payment through your own Stripe account. Free for one person, nothing metered.

Questions

Is this invoice generator really free?

Yes, and there is nothing to sign up for. The whole thing runs in your browser: your invoice, your logo and your client's details never reach our servers, because there is no upload step for them to reach it through.

How do I make an invoice?

You need six things: who it is from, who it is to, a unique invoice number, the date it was issued and the date it is due, an itemised list of what you are charging for, and the total. Add your tax registration number if you are registered. Everything else is presentation.

What should my invoice numbers look like?

Sequential and never reused. INV-0001 onwards is fine, as is 2026-001 if you prefer to restart each year. What matters is that no two invoices share a number and there are no gaps you cannot explain, because that is what an audit looks at.

Do I have to charge tax?

That depends on where you are, what you sell, and whether you are registered. This tool will put whatever rate and label you enter onto the document; it does not know your obligations and cannot work them out. If you are not sure whether to charge, ask an accountant before you send it, not after.

What is the difference between a quote, an invoice and a receipt?

A quote is an offer, before the work. An invoice is a demand for payment, after it. A receipt is confirmation that payment arrived. Same document, three different jobs, which is why the type selector changes the wording rather than the layout.

How do I get paid faster?

Send it the day the work finishes, make the due date a date rather than "net 30", itemise it in the client's language rather than yours, and give them a way to pay without leaving the document. That last one is the part a PDF cannot do.
